TCDL Bulletin The Ingest and Maintenance of Electronic RecordsMoving from Theory to Practice
The project has synthesized electronic records preservation research with digital library repository research in an effort to develop practical real-world approaches to the preservation of university electronic records at both institutions. The primary focus of the poster will be on examining conceptual models of ingest and maintain, two primary activities in the process of preserving electronic records, in order to clarify these complex processes and explain them as a series of specific steps that archives can undertake. One of the key challenges to preserving electronic records in a meaningful way is preserving the authenticity and integrity of records during their movement from a recordkeeping system to a preservation system. Once an Archive has taken in electronic records, it must keep, store, and protect from harmóin short it must maintainóthe records and their accompanying metadata. An examination of ingest will describe the steps needed to accession and acquire records into a preservation system in a trustworthy manner, and an examination of maintenance will describe the steps needed to successfully store and manage records in a preservation system. This project has developed and a Ingest and a Maintain Guide to respectively describe the actions for a trustworthy Ingest and Maintain process. The two-fold purpose of this poster is to: (1) disseminate some of the primary findings of the NHPRC grant-funded project; and (2) to translate the concepts of electronic records research into practical terms.
